Choose your access type and tagging method

Overview

Ready to get started? This guide walks you through the first step with GotPhoto: creating a photo job. Make sure your account setup is complete before you continue.

Step 1: Create a new photo job

On your dashboard, click Create a job.

Classic interface: Navigate to Photo Jobs > Create a job.

Step 2: Enter job details

  1. Job name: This name appears publicly in your online shop. Use a clear format like Lincoln Elementary - 2025.
  2. Date of shoot: Helps track and prepare for upcoming jobs. Create jobs a few days in advance.
  3. Organization (client): Select or add the organization associated with the job (e.g., school, league, dance studio).
  • If existing: Start typing the name and select from the dropdown.
  • If new: Add the details below.

  • Enter address and contact person (e.g., principal or director).
  • Enable School Portal access (optional). Clients will get an email to set their password.

Depending on permissions, clients can:

Step 3: Define job settings

  • Job type: Used for reporting. Use "School" or "Sports" to enable editing and background extraction services.
  • Internal job name: Used for file storage and QR cards. Use formats like PlainviewHSFall2024. Avoid spaces or starting/ending with dashes or underscores.- 
  • Subjects expected: (Optional) Estimate high to print enough QR cards. For 100 expected, print 110.
  • Online Shop 2025 Edition: Enable for an optimized customer experience. Check job compatibility.
  • Prepay: (North America only) Enable if using prepay sales. Can be toggled anytime.
  • Assignees: (Paid plans only) Assign team members with upload rights to the job.

Save the photo job after completing these steps.


Step 4: Access and edit settings anytime

To make changes, go to Actions > Edit Job Information within the job.

Internal job name guidance

If you’re using FTP or EasyUpload, follow these naming tips:

  • Visible on QR cards
  • Must be unique
  • Use only letters, numbers, dashes, or underscores
  • Do not start or end with a dash or underscore

Pro tip:

If you select the same job type again (e.g., Elementary School), GotPhoto will apply previously used settings (e.g., tagging method, pricing, coupons). You can still make adjustments as needed.
