Create a Group Photo Only Job (without a Names List)

Overview

This article guides you through efficiently setting up a group or class team job without using a names list. This workflow is available for the proofing shop and is not supported for Prepay or Prepay+.

Tip: Photographed only group photos this season? Use them as a second-chance sale! Upload the group photo to last season’s job with individual photos, remove package restrictions, add à la carte items, and send a one-time message to parents. Then, send a newsletter to all customers in the job to let them know it’s available.


Create your Job

Select the job type Class Photo Only. For a sports job, select the respective sports type. Please note that the single access code job type is not yet supported in the new shop.

Select the Access Type

Select the Access Type One Access Code and enter the access code for your job that allows parents to access the shop and order the group or class photos.

Set up your Job Settings

1. Add a price profile.

Your price profile should only contain group photo prints. Please specify the availability of the prints in this price profile for group photos only.

3. Shipping Settings: If the job should be shipped to the school/league, select Batch Shipping and set your Batch Deadline

4. Archiving Settings: Add your Archiving date.
5. For this job type, we won’t use a communication profile. Instead, if customer data is available, a one-time message will be sent once the job is live.

6. Save the Settings.

7. In your Advanced Job Settings, enable the Job Registration to collect parent data for email reminders. You can set it as optional or mandatory. However, ensure the registration form is shown after every login, otherwise only the first potential customer will see the form.

  • Instead of sharing your general shop link and access code with the school or league, you can make it even easier by providing an email draft that includes the direct login link.

Getting the direct login link for your job's access code:

  • Click the magnifying glass icon at the top of your dashboard.
  • Filter by Access Code and search for the specific code (e.g., TEAMPHOTOS2025).

  • Click the result to open the Access Code Overview page.
  • On the right-hand side, under Details, you'll see a section labeled Quick login.

  • Copy the link provided there and use it as a hyperlink in the email draft. This lets parents access the shop directly—no need to enter the access code manually.

Picture Day

Track the names of the classes / team that you photograph. Photograph a sign (whiteboard, clipboard, etc.) with the team name before each group shot.


Upload Photos to GotPhoto

We recommend renaming your image files using the team or teacher name to keep everything organized and easy to identify later. Save them in subfolders by group or team, and import each group’s images into their respective albums' group section in GotPhoto. While you can create albums in Photo Management, it's typically faster to create them directly in EasyUpload and use that to upload the images into the correct albums.

Switch Job to Selling

After ensuring that your preferred job settings are saved correctly, you can switch the job to selling.


Communication

Inform the organization that the photos are online. Send a newsletter to all parents who signed up for the job. When sending your email /SMS to customers, select all customers as recipients. In the email/SMS form, use the actual direct login link (as mentioned above). Do not use a GotPhoto placeholder for the link — placeholders will only work if individual access codes are available in a job, which is not the case here.

Shopview

Your customers can now purchase the group picture(s).

The Takeaway

The job set-up for Group/Class/Team Photos Only jobs differs slightly from the regular workflow. By following all listed steps, you and also your customers will have a smooth picture day and shopping experience.
