Why access codes must be unique
The GotPhoto system relies on access codes to connect subjects with their photos. If codes are duplicated across jobs, data conflicts occur and names lists can be overwritten.
What happens when access codes are reused
If you download a list of names with access codes from one job and upload it into another, the names list from the first job will be erased.
For example, if you use student ID numbers as access codes, reusing them for the following year will transfer the codes to the new job and erase the names from the earlier job.
How to restore a list of names
If your names list was removed from a previous job, you can restore it by re-importing the original list.
Steps to restore
- Go to Job #1 where the names list was erased.
- Re-import the list of names into this job.
- Select the Update list option during import.
Important: When you restore the list in Job #1, the data will be removed from Job #2.
Use this method if you need to add staff or faculty members back to create a student data export.
