Upload photos with EasyUpload

Overview

EasyUpload is GotPhoto's desktop photo-uploading tool. It offers an encrypted and secure connection for all GotPhoto customers to upload photos. This article provides both a video guide and step-by-step instructions.


Get started with EasyUpload

Before uploading images, you must create your photo jobs in the GotPhoto admin area. For detailed instructions on creating a photo job, learn how to create a photo job. You don't need to create albums in GotPhoto beforehand, as you can create them directly within EasyUpload, as explained later in this article.

You can download EasyUpload for Windows or Mac from your admin area. Open the job where you want to upload photos, then click the Photo Management tab. In the upper right corner, click Photo upload methods. [Classic Interface: Settings > Photo Upload].

If you've used EasyUpload before, don't worry about manually updating. New versions are automatically rolled out. A pop-up will prompt you to log in again to access the latest version.

Mac users

If you see the message on the right when first running EasyUpload:

  1. Click on System PreferencesSecurity & Privacy.
  2. In the General tab, select "Allow apps downloaded from App Store & Identified Developers."

EasyUpload settings

The left-hand menu displays the folder structure of your existing photo jobs and lists available job status types.

  • You can upload photos to all your jobs, regardless of their status. In your EasyUpload Settings, you can choose which jobs to display (jobs in planning, selling, prepay [if applicable], and archived mode).

  • You can sort your jobs by creation date or job name.

  • You can upload up to 25 photos at once.
  • The recommended value for concurrent uploads has increased to 10 for faster file handling. Your connection speed may affect performance.

  • Auto update: All changes you make will apply immediately. Changes to Auto Update and concurrent uploads require restarting the application to take effect.

You can refresh the display (e.g., after adding a new job or album) by clicking the refresh button at the top of the menu:

Upload photos

To upload folders of photos, click on the photo job you want to upload into. You can then either drag files to the Individuals and/or Group area or click the respective area and select the folder/images from your device.

If an album already exists within the photo job, you can upload individual images to it after clicking the album name in the list of folders.

Upload and quality verification

Once you select a job or album, a pop-up confirms your selection.

To upload your file, click or drag it to the appropriate area, such as the Individuals section. During the upload, a pop-up will appear to analyze your photos for quality concerns. The system checks for low-resolution images (a warning displays for photos under 1000x1000 px) and images that don't conform to the recommended sRGB color space. The example below uses sample images to demonstrate this feature.

If your photos are flagged, use the filter option to review any file with an issue. You can filter by "Low resolution" or "Color space issues."

Click the yellow warning note below a photo to review or delete the affected image file. If you keep the image, it will still be uploaded to your job.

Folder structure and naming conventions

If your job has a names list and grade/class/teacher or team/group information, you don't need to create albums beforehand. Simply upload the photos in one large folder. After the upload, our system will sort the photos based on your preferred scheme (e.g., by grade/teacher), then move all images into their respective albums.

Supported folder structure:

You can use our recommended folder structure if you don't have additional subject data (grade, group, or team). A photo job can contain an unlimited number of albums. Within each album, you can create a maximum of two subfolders.

EasyUpload now supports specific naming conventions for photo types, improving organization and tagging:

  • Images in folders named `groups/group/grp/grps` (these names are not case-sensitive) will be tagged as group photos.
  • Images in folders named `individuals/individual/ind/inds` (these names are not case-sensitive) will be tagged as individual photos.

If there is no subfolder in the album, all images will be uploaded as individual images.

The folder upload will only proceed if the album structure is correct. If there's an error, a warning message will appear.

An album containing only group photos won't be visible to customers unless they also have individual photos in the same album. However, we have a solution for this situation: you can create a group photo-only album in your GotPhoto job that will be available for customers who have individual photos in that specific job. Navigate to the Photo Management tab of your job, click Create New Album, name your album, and check the box for the Expert Settings. Afterward, refresh EasyUpload to see the new album, then you can upload your group photos.

Review and finalize upload

After you select the files to upload, they will be listed in EasyUpload. The job and album name, as well as the photo type, will be shown. You can add more photos if needed.

If you uploaded the wrong file, simply remove it by clicking the trash icon to the right of each image. You can also delete the entire list using Delete All.

Clicking Upload All begins the upload process. If you need to stop the upload, click Stop upload. To delete files where the upload has already been completed, click Delete completed files.

Once the upload is completed, you will see a confirmation pop-up:

Your uploaded images will now appear under the Photo Management tab in your GotPhoto account.

If you've created an album with the Expert settings "Album available for everyone" in Photo Management, EasyUpload will restrict uploads to only group photos for that album.

Create and delete GotPhoto albums in EasyUpload

The newest version of EasyUpload allows you to create and delete albums directly within the tool, mirroring functionality in GotPhoto:

  • Hover over a job name, right-click, and you'll find the option to create an album.
  • Hover over an album name, right-click, and you'll find the option to delete the album.

Troubleshoot EasyUpload issues

  1. I don't see my photo job listed.
    If a photo job isn't displayed in the menu, check your EasyUpload settings and ensure jobs in "planning mode" are selected. If you have "Auto-Update" activated, the job should then appear in your job menu.

  2. I followed the folder structure, but I'm still receiving an error message.
    Please check the names of any created subfolders. Subfolders for group photos need to be named `groups/group/grp/grps`, and subfolders for individual photos need to be named `individuals/individual/ind/inds` (any of these options are allowed). Some systems automatically capitalize folder names, which must be entered in all lowercase.

FAQs

Are there any limitations on the number of photos I can upload at once?

You can upload up to 25 photos at once with EasyUpload. The recommended value for concurrent uploads is 10 for optimal performance, though your internet connection speed may influence this.

What happens if my photos have quality issues during upload?

During the upload process, EasyUpload analyzes photos for quality concerns, such as low resolution (under 1000x1000 px) or incorrect color space (not sRGB). A warning will be displayed, and you can filter to review these files. You can choose to upload them anyway or delete them before proceeding.

What if I accidentally upload photos to the wrong job?

Photos cannot be moved between jobs once uploaded. If you upload to the wrong job, you'll need to remove them and re-upload them to the correct job.
