Upload Photos using FTP in GotPhoto

Overview

Using an FTP allows for efficient photo uploads and organization within GotPhoto. This guide walks you through:

  • Creating an FTP user
  • Setting up connection details
  • Using an FTP program for seamless photo transfers

This short video explains how FTP upload works in GotPhoto:

Create an FTP user

  1. Go to Settings → User & passwords
  2. Select Actions next to the default administrator user, then click Edit.
  3. Tick the box for Upload photos via FTP. Choose a username and password.
  4. Click Save.

[Optional] Create additional FTP users

  1. Click the blue Add user button in the top right.
  2. Fill in username, password, and assign access rights.
  3. Click Save.

Set up your FTP connection

You’ll need an FTP client. We recommend FileZilla (Mac/Windows).

Use the following FTP connection details:

  • Upload protocol: SFTP (Not FTPS)
  • Server/Host:sftp.gotphoto.com
  • Port: 22
  • Username: Your FTP username from GotPhoto
  • Password: Your FTP password from GotPhoto

Transfer photos via FTP

Once connected and authenticated:

  • Jobs with status Planned (Inactive) will appear as folders.
  • Folder names match the internal job name.
  • You can transfer individual images or entire folders.

Organize images into albums

To create an album, add a folder inside the job folder (e.g., Class 1). Images inside this folder will be placed in the Individuals section of that album.

[Optional] Structure group and individual photos

Add subfolders within the album folder:

  • group – for group images
  • individuals – for single portraits or QR card photos

Example folder structures:

  • job00001/group 1/ – uploads all to Individuals
  • job00001/group 1/individuals – for individual images
  • job00001/group 1/group – for group photos

After uploading, files will process within minutes and appear in the GotPhoto admin menu.

⚠ Important: Jobs set to Selling will not be shown in the FTP folder list. Learn more about job statuses.
