QR Tagging with no subject data

Overview

This article explains the steps to follow when using QR Tagging without having subject data available in advance.

If time permits before your shoot, consider using the Preregistration for Picture Day feature to collect subject and parent data in advance.

Create a new job

Start by configuring your job settings to use QR Tagging and prepare the necessary number of QR cards.

  1. In the job's Settings page, select QR Tagging as the tagging method and enter the number of QR cards needed. Add 25% more cards than your estimate to accommodate extra subjects.

  2. Under the Tagging tab, click Generate QR cards (PDF) now.

  3. Download, edit, or delete and regenerate the cards as needed.

Workflow on picture day

On Picture Day, collect the necessary subject data and photograph each QR card before capturing the subject.

Option 1: Basic subject data collection

  1. Ask for the subject's name and write it on the QR card. Add team/grade/teacher info.

  2. Photograph the QR card, then the subject.
  3. Give the QR card to the subject.

Option 2: When parents are present

  1. Write down the subject’s name and relevant group info on the QR card.
  2. Have the parent scan the QR code to register for communication.
  3. Photograph the QR card and then the subject.
  4. Hand over the QR card.

Workflow after picture day

After the shoot, you can associate the collected data with the galleries using either manual entry or spreadsheet import.

Workflow 1: Manual data entry

  1. Upload the photos using your preferred upload method.
  2. Sort photos if necessary to maintain order.
  3. Ensure each QR card photo has a green QR icon. If missing, enter QR codes manually.
  4. Click Activate access codes.

  5. To add student data manually:
    • Click Manage Individual next to a gallery and select Add a new student.

    • Enter available data (first or last name required). Use OCR tools if needed.
    • Click Save.
  6. The subject’s name will appear in the gallery and job name list.

  7. Switch job settings to QR Tagging with name list and save. Click View Names to manage the list.

Workflow 2: Use a spreadsheet

You can also import student data using the name list template before uploading photos.

  1. Enter data from QR card photos into the names list template. Include each subject's access code.

  2. Use OCR tools if available to speed up transcription.
  3. Switch job settings to QR Tagging with name list and upload and import the list.
  4. Upload your photos.
  5. Activate access codes to trigger automatic sorting and album creation.

The takeaway

Using QR Tagging without subject data upfront is straightforward. Generate QR cards, collect info during the shoot, and use manual or spreadsheet methods to add data later.
