Choose Your Access Type and Tagging Method

Overview

We try to automate the workflow as much as possible to help our photographers save time and effort! One of the ways we do this is with automatic picture tagging by using either our QR cards or barcode scanning.

With either method, GotPhoto will automatically link the photos you upload to the right subject and sort them into secure galleries. Each customer will then use their own unique access code to log into the online shop (proofing) to see their photos only. In this article, we'll walk you through the basics of choosing your access type and tagging method prior to picture day. These instructions are relevant whether you plan to use QR cards, barcode tagging via an Entagged device, or SpotMyPhotos Facial recognition.


Setup

On the Settings page of your photo job, select how you would like your customers to access their photos. 

  • Access code for each person means each customer will receive their own private gallery and an access code for viewing it.
  • One access code means everyone with the access code will be able to view all photos.
  • Public — no access code means all photos are accessible to the whole internet, so be careful about how you use this option.

In most cases, the most appropriate access type will be Access code for each person. If you are shooting sports teams only (i.e., no individual shots), you can select one access code (and make sure to create a different album for each team for easy navigation). 

You will then be offered a few different tagging methods:

  1. QR-Tagging: Use if you don’t have a names list or roster from the organization, but would like to use QR cards for tagging photos. Just indicate how many QR cards you'd like the system to generate for this job (i.e. how many subjects you intend to photograph, plus some extras just in case).
  2. QR-Tagging — with list of names: Use if you do have a names list or roster from the organization and would like to use QR cards OR  barcode scanning for tagging photos. This is also the best way to import your customer contact data for your communication profiles. You can upload your own spreadsheet and match the data columns, or use our CSV template. This is the ideal setting to use whenever possible, as it will allow you to make full use of our automated marketing functions and help boost sales.
  3. QR tagging — Registration for picture day: Use if you would like people to register for picture day (which will build your names list and customer contact details in the process!).
  4. Manual tagging: Use if you would like to manually tag each subject's photos one-by-one, or use the metadata upload feature.

⚠ Important: All Prepay or Prepay/Proofing hybrid jobs should use QR-Tagging with list of names, even if you don't have any subject data upfront. Through the Prepay ordering process, the system will automatically build the names list for you.
