Overview
Once you upload photos to an album, you'll need to activate the access codes so that GotPhoto can match the subject in your job to their photos in your album using their unique access code. Photos won't be visible in your online shop until your access codes have been activated, and the job has been set to selling. In this article, we'll review how to sort and move your uploaded photos to get them ready for activation.
The video below shows a quick explanation for using this function. Written instructions continue below.
Sorting Images
- Open the album where you have uploaded your photos.
- Sort the images so that the subject's QR card precedes the rest of their photos. It should look like the QR card, the subject's pictures, then a new QR card, that subject's pictures, etc.
- If you need to rearrange the photos to get them in the right order, you can either use:
- Automatic sorting (by name, filename, width, height, date treated, or time stamp — ascending or descending) by clicking on the blue Sort photos hyperlink, or
- Drag and drop the images by clicking on the sign in the upper-left corner of an image.
- The system will automatically start picking up the access code from the QR cards. A QR card has been successfully read when it's highlighted in green.
- If any of the QR cards have not been highlighted, you can manually add the access code.
Move Photos Between Groups or Access Codes
- Navigate to and select photos you want to move.
- Once selected, click the arrow icon on the right hand side.
- A new window will popup asking you whether you want to move the photos between:
- Individual and group sections within an album
- Access codes
- Albums
Select your preferred option and click Move photos.
Activate Access Codes
- Once the photos are in the right order and all QR cards are highlighted in green, select Activate access codes.
- You'll see a popup that gives you the option to resort photos based on your names list. You can select this option if you'd like your photos to be broken out into different albums according to the group and/or teacher you uploaded in your names list. The system will then automatically build the albums for you and move the photos to the correct place. New (May 2024): If you have uploaded photos with several QR cards together (you can have up to 5 access codes in one photo), these sibling or buddy pictures can be automatically moved to a separate album after sorting to ensure parents can only view group pictures of their own child. Type in an album name into the text box labeled Album name for buddy/sibling photos (Optional). This will create the separate album.
- After the access codes have been activated, each subject's photo will be grouped under their access code. Siblings or buddy photos that are tagged with multiple access codes will be in the Buddy and Sibling album.
Pro Tip: Resorting
If you activated the access codes but forgot to sort the photos based on your preferred scheme (e.g., group/ teacher), no worries. You'll find the option under Manage Individuals → Resort Photo to albums within your upload album. Once you click it, a pop-up allows you to sort the images based on the names list fields you select.
The Takeaway
Activating access codes is crucial for making your photos visible in the online shop. By sorting and arranging images correctly, ensuring QR codes are recognized, and activating access codes, you create an organized and accessible display for each subject's photos.
