Create an Album Visible to All Access Codes

Overview

Your photo jobs may sometimes include group shots that you would like all subjects to have access to. While group photos (i.e. photos that contain all subjects in a job) are available in each subject's gallery, we've provided the option of creating a separate album for these types of photos. In this article, we'll review the use case and setup for this option.


Use Case

In this example, we'll refer to a nursery school, but the idea is applicable to all workflows.

You have taken pictures in a nursery with personal access codes. Each parent has access to their personal pictures and group pictures in their albums.

During Picture Day, you also took many general pictures of kids playing together in larger groups or similar situations. By using this option, you can make these pictures available to every parent without the need to upload them to every album separately. Any parent who logs in with their code will also see the pictures uploaded to an album with the general availability setting.

Another advantage of this is that you can assign the general visibility album a different price profile than the personal pictures.


Setup

  1. In Photo Management, click on Create new album.
  2. Click on Advanced settings and check the box for Album available for everyone who has access to this job?
  3. Create the album.

⚠ Important:

  • Albums of this type will not show an individual photo section
  • Access to these albums can no longer be restricted further at a later time
  • For FTP upload: A folder with the name "group" needs to be created and the photos uploaded into it. If the folder is not created, the pictures will not be moved to the correct location and cannot be viewed by customers
  • Lightroom Export does not allow upload into these folders
  • We recommend uploading pictures for this album directly on the website

The Takeaway

Creating separate albums for group photos enhances the accessibility and management of photos with multiple subjects. Establishing a single album that all parents can access eliminates the redundancy of uploading group photos to individual albums, streamlines the photo-sharing process, and allows for differentiated pricing strategies between personal and group pictures.
